Note: Observation Checklists are entirely distinct from OnTrack Checklists.


Observation Checklists let a manager record scores, notes, and other details while watching a user demonstrate a process in person. Everything is captured in a single set of records that you can use as part of a module and report on.

An Observation Checklist has three pieces: the Observers, the Observees, and the Checklist Items. Defining an Observer group is a two-part process: use Add Observers to set who does the observing, then Define Audience to set who they observe. Both buttons open the Rules Engine.

Observation Items

Observation Items are what each Observee is evaluated on. Below the observer groups, use the Observation Checklist Items section and Add Checklist Item to build them out. Each item has:

  • Title: What the user is being evaluated on, for example "Greeting guests with proper greeting and smile."
  • Description: Context the Observer reviews ahead of time, for example "Did the employee use the correct verbiage in greeting the customer while smiling?"
  • Observer instructions: Seen only by the Observer during an observation, describing what to look for in the in-person evaluation.
  • Rating System: Pick one of three scales: Pass/Fail, 1–3, or 1–5.

The Require User Acknowledgement? setting controls whether a user has to mark themselves Ready to be Observed in the Learner Tool before an Observer can evaluate them. When a user does, they join the Observer's checklist queue and the Observer gets an email letting them know someone is ready.

Observing a user

Observers reach the observation tool two ways.

The first is the Checklist Queue widget, added to any page on your site (most often the homepage). From there, an Observer sees the users in their queue and launches an observation. When managing the widget, you can set the queue to display users oldest to newest or newest to oldest, based on when each user joined the queue. This works only when the checklist has Require User Acknowledgement? enabled.

The second is through Admin Tool → Content tab → the checklist you want.

Observing a user

Pro Tip: You can tie the Observer audience to the admin's own profile value. In the Rules Engine, choose Location as the profile field and set the value to Admin's Value. For example, to have the GM at each location observe every user at that location, define the observer as Title is GM and the audience as Location is Admin's Value. The LMS then matches each GM's location to the users who share it.
