Introduction
Location Association is a feature for Wisetail Drive that allows you to link devices to specific location. When enabled, this feature activates Smart Sync, which intelligently limits the content synced to each device to only include users and media associated with that device's designated location.
What is Location Association?
Location Association links a Drive device to a specific location value using a designated profile field in your system. For example, you might link a device to "Store #123" or "West Region" using a profile field that tracks your organizational locations.
How Smart Sync Works
Smart Sync filters by users first, then includes only the media content associated with those location-specific users. This design provides the greatest security benefit while naturally reducing the media library size on each device.
Benefits
- Enhanced Security & IP Protection: By syncing only location-specific users, you can guarantee that proprietary information for one franchise or region is never present on another's device. This creates a robust security boundary that protects your intellectual property and sensitive operational information.
- Improved Performance: Smaller, targeted syncs mean the Drive app updates in a fraction of the time. This dramatically reduces on-device storage requirements and cellular data usage, making the app more efficient for your team members in the field.
- Reduced Content Clutter: By syncing media for a smaller, location-specific user base, each device holds a more relevant library. This makes the entire offline system more efficient, the data more manageable, and helps users find what they need faster.
Getting Started
Before requesting this to be enabled, ensure you have a profile field configured that defines your organization's locations.
When planning to enable Location Association, consider the following:
- Device Count: How many devices will need to be re-approved? Plan adequate time for this process.
- Profile Field: Ensure your location profile field is properly configured and populated for all relevant users.
- Team Communication: Alert device users that their devices may need to re-sync after location assignment.
- MDM Configuration: If using MDM, configure your appConfig payloads before enabling the feature to streamline deployment.
Supported Profile Field Types
Location Association works with the following profile field types:
- Select
- Linked Field
- Hierarchy
How to Enable Location Association
Please reach out to Wisetail Technical Support to enable this feature.
IMPORTANT: When this feature is enabled for the first time, all of your currently approved devices will be automatically moved to the Pending Approval queue. This is a one-time, necessary step to ensure every device in the system is correctly associated with a location.
The Re-Approval Process
After this is enabled, you'll need to assign a location to each device and re-approve them. This is a one-time process:
- Navigate to Admin Tool → Drive → Devices.
- You will find your devices in the "Pending Approval" queue with a "Location is not set" warning.
- For each device, click to view its Detail Page.
- Use the new "Location" dropdown on the detail page to assign the correct location to the device.
- Click "Approve". The device will now sync with its new, location-specific user and content library.
Tip: You can approve devices in batches by processing multiple devices from the same location at once, making the re-approval process more efficient for large device fleets.
How to Disable the Feature
Please reach out to Wisetail Technical Support to disable this feature.
IMPORTANT: Disabling this feature will cause all devices to sync all users and content, which could take significant time and storage space. Ensure this is what you intend before disabling.
