The Checklist Import Tool builds an OnTrack checklist from a spreadsheet, or from text you type or paste, instead of adding questions one at a time. You lay the entries out in a grid, set each one's response type, group them into sections and subsections, and import the result as a draft checklist.
Opening the tool
- Go to Admin Tool → OnTrack → Checklists → Create Checklist.
- Fill in the top-level checklist details. Title is required.
- Open the dropdown next to Create and click Bulk Import. The tool opens in a modal window.
Getting entries into the grid
Two paths populate the grid:
- File upload. Drag a .csv, .xls, or .xlsx file into the upload zone, or click Choose a file. Only the first column of the file is parsed, so put your checklist entries in the first column. Uploaded rows load as flat entries under a default section.
- Manual entry. Click Skip at the bottom of the upload modal to open a blank grid. Click + Entry in the bottom toolbar to add a row. The cursor lands in the title field of that row in edit mode, so you can type immediately. With a row selected, the toolbar inserts an entry above or below the selection.
Grid layout
The grid has three columns:
- Entry Title: the question or prompt text. Double-click a cell to edit it inline.
- Entry Type: the response type, such as Yes/No, Short Answer, or Multiple Choice.
- Required: a checkbox on each row, plus a master checkbox at the top of the grid that marks every row required or optional at once.
Row 1 is a pinned section header with a lock icon, and it is the root section, so no entry is orphaned. You can double-click to rename it. It cannot be deleted, converted to an entry, indented, or dragged, and entries sit inside it by default, matching the default section of the standard Checklist Builder.
Sections and subsections
Structure the checklist from the top toolbar, the right-click context menu, or the three-dot menu at the end of each row. All of them offer the same options: insert an entry above or below, insert a subsection below, insert a section below, duplicate the selected row, indent or outdent the selected row, and delete the selected row. Duplicating a section or subsection header copies the header row only; nested entries are not copied.
- Click Insert section below to create a top-level group.
- Click Insert subsection below, then select the entries underneath it and click Indent to nest them as child entries. Rows left unindented stay at the parent section level.
- Indenting an entry, or a group of entries, forms a subsection container for them even without a header row.
- Select an indented entry and click Outdent to return it to the main section level.
- Select multiple rows with Shift + Click for a range, or Cmd/Ctrl + Click for non-adjacent rows, then click Indent or Outdent to nest or un-nest the whole group in one action.
- Right-click an entry and select Convert → Section or Convert → Sub-section to turn an entry row into a header.
- Click the arrow next to a section or subsection header to collapse or expand its entries. A badge on the header shows how many questions are nested inside it.
Deleting rows
- Deleting a subsection header removes the header row only. Its child entries outdent and stay within the parent section.
- Deleting a section header removes that header only. Its child entries shift into the closest section above it, or into the root section when no section precedes it.
- Clicking the trash icon on an uploaded file prompts a warning dialog, then removes the file and returns you to the upload screen. Clicking Cancel closes the modal and returns you to the Checklist Builder.
Validation and import
Every entry has to be complete before the checklist can be imported. The validation bar in the footer shows how many entries are valid, for example "42 / 50 entries valid". A row is invalid when it is missing an entry type or its title is blank.
Once every row has a type and a title, the Import Checklist button enables. Click it, and the checklist is created and opens in the standard Checklist Builder as an inactive draft, where you can review the settings, add follow-ups, and publish.
